Documents for holidays with a company car

It is possible that during your vacation, no one will ask you if you are entitled to drive the company car you have. In order to avoid unpleasant surprises and possible fines, it is essential that you always set off with the right documents. In our article, we have collected all the travel documents that are worth putting together in the glove compartment. What is ultimately asked of you may vary from country to country, for example, you may need border insurance instead of a green card. One thing is for sure, however, it is worthwhile to find out about the regulations of the given country, the necessary certificates and signal the need to ALD Automotive as early as 1 month before the planned trip.

 

Check the expiration date of your documents in due time before departure. The triple of vehicle registration, driving license and travel document must be with you in all cases.

Green card - required in most countries

The green card is not the same as the environmental certificate. The green card is an international motor third party liability insurance certificate issued by insurers to prove the existence of the required motor third party liability insurance cover required abroad. The green card is therefore a form certifying the extension of the Hungarian compulsory motor third party liability insurance abroad. Abroad, as well as at home, you need a valid green card for the car, which the driver is obliged to keep with him, whether a leased car or his own car. For company cars, ask from the fleet manager or an employee handling company vehicles.

It is advisable to indicate your trip one week before the trip to make sure the document is available on the day of departure. The green card only certifies your motor liability insurance coverage in the member countries of the Green Card System. If you travel to a country that is not on this list, you must buy the compulsory motor third party liability insurance contract (so-called border insurance) at the border of that country.In some countries, such as Ukraine, when entering the country, you have to buy insurance directly at the border for the days spent there.

Company car authorisation

One thing we tend to miss regularly - as it is natural for ourselves, but not for the police officer - is to prove that we can use the car legally! If you are traveling abroad with a company or rental car - which you, as an individual, are not the operator of - you should always bring a declaration from the owner of the vehicle that you can use the car.You can request the exclusive certificate of use by e-mail at driverdesk.hu@aldautomotive.com.

However, there are countries that are not satisfied with a simple paper and signed license. In this case, you will also need a Country Leaving Permit, which we will issue to you upon request. You must notify us by e-mail on ALD Automotive Magyarország Kft. driverdesk.hu@aldautomotive.com  at least 1 month before the trip so that the necessary documents can be prepared in time.         

Border crossing permit - for leased company cars, per occasion

If you plan to drive a leased vehicle outside the EU, you will need a certificate that you are using the vehicle legally. ALD Automotive Magyarország Kft issues a written permit for the rented car, which is accepted at the border crossing. In the permit we have to give the basic data: the name of the car user, the number of the travel document, the registration number of the vehicle, the chassis number, the name and signature of the holder of the registration certificate (in the case of a company car, the due signature and the time period for which the vehicle can leave the country).

The type of document that is accepted varies from country to country. You should find out about the border crossing requirements of the destination country on the website of the Ministry of Foreign Affairs.
